Program Application - Part 2

Student Instructions


TEAM REQUIREMENTS: ALL team members must individually complete both Parts 1 and 2 of the application. We recommend that team members work together on all parts of the submission process.

  1. Complete and submit Part 1 at https://launch.tamu.edu/UGR/URS/Apply.

  2. Complete and submit Part 2 at https://scholarsthesis.tamu.edu using the appropriate template from https://launch.tamu.edu/UGR/URS/Apply.

  3. Your application must include all 4 sections below to be eligible (or it will be returned):

    1. Proposal

    2. Research compliance acknowledgement

    3. Contingency plan

    4. Timeline

  4. Upon completing your submission, your faculty advisor will be sent an automated email request to review and approve your application. Faculty advisors are asked to submit a response within 2 business days of receiving the review request. The UGR office cannot fully process applications until faculty advisor approval has been submitted.

  5. IMPORTANT: If your faculty advisor requests REVISIONS to your application, send an email to ugr@tamu.edu immediately so we can reopen your STSS profile for resubmission.

  6. Next, your proposal will move to a UGR reviewer and your proposal reviewer will contact you if your application needs corrections and/or when it is approved. Pay close attention to new revisions deadlines given by proposal reviewers.

  7. Depending on when your proposal is submitted, processed, and approved by both your faculty advisor and UGR staff, you may be notified of your acceptance into the program as late as the second week of October.

  8. You will receive a separate notice from UGR when all application materials have been processed and you have officially been accepted into the program.

Faculty Instructions


  1. Students submit URS applications by September 4, 2024 at 9:00 AM CT.

  2. Pay close attention to the research compliance acknowledgement section. Research advisors who mentor undergraduates in the URS thesis program are solely responsible for advising and verifying student compliance, ethics, and necessary training throughout the duration of the program. Faculty advisors are required to review and approve all aspects of URS applications and final theses, including the student’s acknowledgement of research compliance verification in the application as well as the research compliance certification page in the final thesis.

  3. Please submit your response within 2 business days of receiving the approval request. The UGR office cannot fully process applications until faculty advisor approval has been received.

  4. To request changes or to reject applications, please send an email to ugr@tamu.edu.

Important Reminders for Students and Faculty


  • Students and faculty advisors should work together to determine which application template is most appropriate to use.

  • If faculty advisors request changes to a student’s proposal, either the student or faculty advisor should notify UGR at ugr@tamu.edu so the student’s application can be reopened for resubmission. Students and faculty advisors should discuss who will notify UGR staff.

  • It is expected that students and faculty advisors work together on the application content prior to the application deadline. Once a student submits an application to the STSS, faculty advisors will receive an email request for approval. Faculty advisor approval is expected within 2 business days of receiving the request. Remember that UGR cannot fully process applications until faculty advisors submit approval through the STSS.

  • TEAM REQUIREMENTS: ALL team members must individually complete both Parts 1 and 2 of the application. We recommend that team members work together on all parts of the submission process. Faculty advisors must individually approve all team member applications.
